Hotel Accommodation and Reservation Requirements

(2) The Conference Secretariat will book rooms for attendees at preferential prices,This price is determined by the average conversion of the exchange rate.

Reservations need to be made online and are only considered valid upon successful payment. Due to the fact that November is the peak season for conferences in Shenzhen, participants who have not booked accommodation in advance will not be guaranteed a room, but will be assisted on site as much as possible.

(3) The discounted prices will be available for the duration of the conference ONLY. An early check-in or check-out date of 27th November or 4th December is optional for reservation of the entire room. The conference staff will arrange rooms according to the reservation order and room availability and will take into the account the requirements of attendees. If the hotel is fully booked, the Conference Secretariat will arrange for a nearby hotel (prices may vary).

So please be sure to make your payment in a timely manner to guarantee your reservation, otherwise the original reservation will be regarded as canceled.

(4) Participants who need to advance (before 27th November) or extend their stay (after 4th December) can fill in the notes when booking, which is subject to the hotel’s specific reservation situation. You will be promptly contacted in case of any special circumstances.

5. Cancellation and Refunds

(1) Participants who have already paid for accommodation must inform the reservation staff in writing by 10th November, 2023, if they are unable to check in on time for any reason. Accommodation fees will not be refunded without prior notice. For participants who cancel accommodation reservations before 10th November, 2023, the accommodation fees will be refunded to the paying bank card number after the conference, but a refund handling fee of USD＄8 per person will be charged. The refunds will be completed within 15 working days after the conference.

(2) For cancellations of room reservations and refund requests received between 10th-15th November, 2023, the first night's room fee will be charged, and the remaining room fee will be refunded after the conference.

(3) No refunds for room cancellations would be made after 15th November, 2023.

6. Accommodation Payment

(1) Individual participants are able to make reservations and pay for the room directly online via the accommodation booking channel provided on the conference official website. Please complete the payment in time, otherwise the original reservation will be regarded as canceled. If you wish to make another reservation, you are required to re-submit your order online. The room reservation will be considered successful only when the payment is completed.

(2) For group booking, please submit the reservation request to the accommodation staff before 10th November, 2023.
